About the role

Team: A team of Executive Coordinators work together to provide administrative support across the organisation. Each coordinator has their own responsibilities; however, these may shift from time to time and Coordinators will cover for each other during exceptionally busy periods or periods of leave.
The successful candidate will be someone who has a flexible attitude, is able to assume responsibility for a range of tasks, is prompt and detailed in responding to the frequent requests received and enjoys helping to make the lives of others easier.

Reports to: Manager—Executive Coordinators (based in London)

This role will provide administrative support to several staff and teams, and primarily the recently established global Regulatory Affairs Team, including the Director of Regulatory Affairs based in Frankfurt.

Key responsibilities

Provide administrative support to teams and colleagues:

  • Proactive diary management across multiple time zones.
  • Schedule a range of internal and external meetings and events, often with multiple global participants, requiring regular liaison with internal and external counterparts to co-ordinate availability.
  • Manage domestic and international travel arrangements, including itinerary planning, securing visas and other travel documentation, arranging car, rail, flight and hotel bookings.
  • General administrative support as requested e.g. email management, printing meeting documents.
  • Provide backup administrative, meeting and event support to other Executive Coordinators as needed to meet deadlines, particularly during exceptionally busy periods or periods of leave.
  • Undertake ad-hoc projects as required.

Skills, experience & qualifications sought

  • Previous experience of supporting a senior team in an international environment and managing complex and frequently changing travel and meeting arrangements across time zones.
  • Experience of coordinating remote and in-person meetings and events.
  • Excellent organisational and administrative skills, combined with a high level of attention to detail and accuracy.
  • Ability to work collegially with others and effectively engage with staff and stakeholders at all levels, both in-person and remotely.
  • High level of autonomy and resourcefulness and strong problem-solving skills.
  • Ability to work flexibly, remain composed under pressure, respond to changes and conflicting demands constructively and prioritise work appropriately.
  • Excellent oral and written English language skills; ability to draft clear, succinct and appropriate correspondence and documents.
  • Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint).
