About the role

Team: The IFRS Foundation’s Frankfurt office is the base of the ISSB Chair and one of the Vice-Chairs (the other Vice-Chair is based in Montreal, Canada). The Frankfurt office supports the Foundation’s expanded global footprint and promotes the work of the ISSB in conjunction with offices in Asia (Beijing, China and Tokyo, Japan), Europe (London, UK) and North America (Montreal, Canada and San Francisco, USA). This role will work with colleagues across locations but supports the ISSB Vice-Chair and Technical Staff in the Vice-Chair's office (based in London) from Frankfurt.

Key responsibilities

  • Extensive, proactive diary management across multiple time zones.
  • Email management.
  • Schedule a range of internal and external meetings and events, often with multiple global participants, requiring regular liaison with internal and external counterparts to co-ordinate availability.
  • Record external engagements in Salesforce.com.
  • Manage domestic and international travel arrangements, including itinerary planning, booking transport and accommodation, and securing visas and other travel documentation.
  • Manage and pre-approve expense claims.
  • Work closely with Technical Staff in the Vice-Chair's office to assist with the coordination and preparation of the Vice-Chair's external engagements and events.
  • Work closely with other departments (such as Communications, Legal and Technical) to coordinate and document speaking engagements.
  • Provide general administrative support and undertake other ad-hoc tasks and projects as required.

Skills, experience & qualifications sought

  • Previous experience of supporting a senior-level executive in an international environment and managing complex travel and meeting arrangements across time zones is essential.
  • Excellent organisational and administrative skills.
  • High level of integrity and professionalism; ability to be discrete and manage confidential or sensitive information.
  • Ability to work collegially and effectively with staff and stakeholders at all levels, both in-person and remotely.
  • Strong oral and written English language skills.
  • Resourceful and proactive approach, ability to work flexibly and manage multiple and diverse responsibilities, whilst maintaining composure and a high level of attention to detail.
  • Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint) is required.
