Experienced Executive Assistant
Salary: circa £30,000 - £35,000 per annum plus benefits

Who we are and what we do
The IFRS Foundation is the oversight body of the International Accounting Standards Board (IASB). We are a not-for-profit organisation whose aim, through the IASB, is to develop, in the public interest, a single set of high quality, global accounting standards.
What we are looking for
Reporting to the Senior Technical Directors, we are looking for an experienced Executive Assistant to provide support to international stakeholders as well as technical staff, and to manage the co-ordination and administration of external outreach activities.
Specifically, the responsibilities will include:
- Liaising with a wide range of external stakeholder groups – including national standard-setters and other organisations – by:
- Acting as a central point of contact for incoming queries / requests and seeing them through to resolution.
- Working with international counterparts to co-ordinate meetings taking place outside of the UK
- Co-ordinating the logistics and administration for a range of outreach activities – conference calls, video conferences, discussion forums, technical roundtables and meetings (both in London and overseas):
- Booking dates and locations, taking into consideration other planned meetings and travel to ensure maximum effectiveness.
- Researching and booking venues.
- Confirming and co-ordinating attendees.
- Organising access and set-up.
- Arranging travel and accommodation as necessary for IFRS staff, applying IFRS Foundation travel policy and using the Foundation’s appointed travel agent as appropriate.
- Preparing agendas in consultation with technical staff.
- Collating and distributing correspondence and meeting documents.
- Attending meetings as necessary to provide effective meeting support.
- Receiving and checking related invoices and monitoring related costs.
- Managing the logistics and administration for external advisory committee an d working group meetings and events:
- Collating and distributing correspondence and meeting documents.
- Co-ordinating membership.
- Attending meetings as necessary to provide effective meeting support.
- Managing internal SharePoint sites:
- Managing user access.
- Acting as a first point of contact for user queries.
- Uploading documents.
- Posting announcements.
- Updating meeting calendars.
- Updating content and posting documents to the www.ifrs.org public website.
- Organising logistics and administration for webcasts.
- Collating and distributing documents and mailings to key stakeholders.
- Supporting technical staff with documenting the results of outreach activities and reporting on these activities to the IASB.
- Providing backup support to other secretarial and administrative staff and work on special assignments for the Senior Technical Directors as required.
What you will need
Skills and attributes:
- Ability to remain composed under pressure, to multi-task and respond to conflicting demands on an urgent and ad-hoc basis, and to prioritise workload appropriately.
- Excellent organisational and administrative skills.
- Team player with a positive attitude and ability to establish positive working relationships, both internally and externally.
- Good communication skills, including excellent oral and written English.
- High level of attention to detail.
- Diplomatic and sensitive approach.
- Ability to work with staff and stakeholders at all levels.
- Medium level knowledge of MS Office products.
Experience:
- Previous experience in a client-facing support role.
- Previous experience of meeting and event management.
